Terms of Service

These Terms of Service (“Terms”) are an agreement between Khajoora Tech LLP (“we”, “us”, “our”), the owner of AgencyNX, and the travel agency or business that signs up for AgencyNX (“you”, “your agency”). By creating an account, signing in or using AgencyNX you agree to these Terms. If you accept them on behalf of an agency, you confirm that you are allowed to do so.

1. About AgencyNX

AgencyNX is online software for travel agencies: CRM, booking records, travel documents (tickets, vouchers, itineraries), invoicing, accounting, GST reports, HR and payroll. It is available on the website app.agencynx.com and in the AgencyNX mobile and desktop app.

AgencyNX is a record-keeping and business-management tool, not a booking engine. You make bookings with airlines, hotels and other suppliers on their own systems, and you remain responsible for those bookings and for your dealings with your customers and suppliers.

Khajoora Tech LLP is based in Rajkot, Gujarat, India. Our registered address is Office No. 813, The Spire 2, Near Shitalpark Circle, 150 Feet Ring Road, Rajkot, Gujarat - 360006, India.

2. Your account and users

• Each person signs in with their own email address and password. Keep passwords private.
• One login per user: a user can be signed in on one web browser and one app device at a time. Logins must not be shared between people; each person who uses AgencyNX needs their own user. Sessions that are not used for a while are signed out automatically.
• Your agency’s administrators add and remove users and decide what each user can see and do.
• You are responsible for everything done under your agency’s logins. Tell us at once if you think a login has been misused.

3. Free trial

• New agencies can try AgencyNX free for the trial period shown when they sign up and on our Pricing page. No payment is needed for the trial.
• The trial lets you use the plan offered with it. We may change or stop trial offers for new sign-ups.
• When the trial ends, access stops from the next day unless you subscribe to a plan. Your data is not deleted (see section 7).

4. Plans, prices and GST

• Our plans and prices are shown on our Pricing page or in a quotation from us. Most plans are priced per user per month and billed for the plan’s billing period (for example, annually). Some plans have one price for the whole agency, billed monthly or yearly.
• Prices are in Indian rupees. GST is added at the rate that applies, unless the price says it includes GST. We issue a GST tax invoice from Khajoora Tech LLP for the fees you pay.
• Users added during a billing period are charged for the rest of that period, in proportion to the days left.
• We may change our prices. A change applies from your next renewal, and we will tell you before it applies.

5. Payment

• Fees are paid in advance for each billing period, by bank transfer to the account shown on our invoice, or online through Razorpay where we offer it.
• Your plan becomes active once we have received the payment and activated the plan.
• Online payments are processed by Razorpay. We do not see or store your card details.
• Refunds and cancellations follow our Refund & Cancellation Policy.

6. Renewal, end of a plan and access

• Your plan runs until the end of the period you have paid for. We remind you before it ends.
• After the end date you keep full access for a few grace days (normally 5) with a warning in the app. If the plan has not been renewed by then, access stops for every user of your agency.
• When you renew, access comes back. Nothing is deleted while access is stopped.

7. Your data

• Your agency owns the business data it enters in AgencyNX, such as customers, bookings, invoices, accounts and documents. You allow us to store and process it only to provide AgencyNX to you, as described in our Privacy Policy.
• You are responsible for the data you enter and for having the right to collect and use it, including your customers’ and travellers’ personal details such as passport numbers. You must follow the laws that apply to you, including data protection and tax laws.
• You can download your records at any time while you have access: reports and lists export to Excel, CSV or PDF, and documents download as PDF.
• We keep your data while your account exists, including while access is stopped.
• To delete your account, follow the steps on our Delete account page. After we verify the request, we delete or anonymise personal data within 90 days, but we keep financial records (such as invoices, receipts and payment records) for up to 8 years, as Indian tax and accounting law requires.
• We take reasonable steps to keep your data safe, as described in our Privacy Policy.

8. Acceptable use

You agree not to:

• use AgencyNX for anything unlawful, including false or fake invoices or tax documents;
• try to reach another agency’s data, or test or break the security of AgencyNX;
• copy, resell or rent out access to AgencyNX, or share one user’s login between several people;
• overload the service, scrape it with automated tools, or upload viruses or other harmful files;
• copy or reverse engineer the software, except where the law allows it.

9. Figures, taxes and advice

• AgencyNX works out GST, TCS and TDS figures and prepares GST return data from what you enter and from rates you can set. You remain responsible for checking them, for your invoices and for filing your own returns. Please work with your accountant. AgencyNX does not give tax, legal or financial advice.
• Some features, such as reading an e-ticket PDF with AI, can make mistakes. Check the result before you save it.

10. Other services

AgencyNX relies on other providers for hosting, the database, email, push notifications, AI features and online payments. Messages you send to customers on WhatsApp go through your own WhatsApp. We are not responsible for services run by others, which may sometimes be unavailable.

11. Availability and changes to AgencyNX

We work to keep AgencyNX available and correct, but we cannot promise that it will always be uninterrupted or free of errors; maintenance and outside providers can cause short breaks. We may add, change or remove features over time.

12. Ownership of AgencyNX

AgencyNX, its software, design and logos belong to Khajoora Tech LLP. Your subscription gives your agency a limited, non-transferable right to use AgencyNX for its own business while the subscription lasts. Your data and your own branding stay yours.

13. Stopping, suspension and closing an account

• You can stop using AgencyNX at any time. Our Refund & Cancellation Policy explains what happens to fees already paid.
• We may suspend or close an account that breaks these Terms, is used unlawfully, or puts other users or the service at risk. Where it is reasonable, we will warn you first.

14. Limits of our liability

• AgencyNX is provided “as is”, to the extent the law allows.
• We are not liable for indirect or consequential losses, such as lost profits or lost business, or for losses caused by events outside our reasonable control.
• Our total liability for any claim about AgencyNX is limited to the fees you paid us for AgencyNX in the 12 months before the claim.
• Nothing in these Terms limits any liability that cannot be limited under Indian law.

15. Your responsibility to us

You agree to make good any loss or claim against us caused by your unlawful use of AgencyNX or by your breach of these Terms.

16. Changes to these Terms

We may update these Terms. We will post the new version on this page and change the “Last updated” date. For important changes we will also tell your agency’s administrators by email or in the app. Using AgencyNX after a change means you accept the new Terms.

17. Law and disputes

These Terms are governed by the laws of India. Please contact us first so that we can try to resolve any problem. Courts at Rajkot, Gujarat, India have exclusive jurisdiction over any dispute about these Terms or AgencyNX.
